Duties and Responsibilities
- Coordinate with museum staff members, other university departments, committees, and external vendors to plan public receptions, Friends of the Haggerty events, partner uses of the museum, offsite events, donor trips, and an annual fundraiser. Serve as the lead planner for all aspects including managing the museum’s event calendar, budget creation, event layouts, vendor agreements, and full event production from start to finish. Additionally support facility rental inquiries on as needed basis.
- Produce quality events to ensure a seamless, inclusive, memorable, and impactful experience for all visitors. This includes overseeing all event production vendors, and their use of the museum and any offsite facilities.
- Building and managing relationships
- Cultivate and maintain relationships as a spokesperson to key external stakeholders such as the Friends of the Haggerty board and committee members
- Act as a key liaison with campus and community partners to further the mission of the HMA through programs and events
- Assist with annual appeal coordination, the 40th Anniversary campaign, and other sponsorship initiatives
- Identify and help recruit potential committee members
- Promote the museum as an event site that meaningful engages a diverse array of members and visitors in the pursuit of a supportive and thriving community. This includes inclusive event planning as well as oversight of marketing materials from event descriptions, images, invitations, guest lists, and any additional promotional logistics.
- Evaluate the impact of museum events with success stories, evaluation data from surveys, photos, budget reports, and future recommendations.
Required Knowledge, Skills and Abilities
High school diploma
A minimum of 3 years of related experience.
Strong organizational skills, with the ability to multi-task and adapt quickly during events. Project and event related experience managing budgets and contracts.
Experience building long-term relationships with community partners, donors, and other stakeholders.
Excellent written and oral communication, intrapersonal, collaborative, and organizational skills.
Enthusiasm for fundraising events and member-based activities.
Provide track record supporting diverse constituencies by leading large and small-scale events.
Ability to provide creative solutions and utilize diplomatic skills with minimal supervision.
The ability to be an enthusiastic spokesperson that fosters teamwork. Ability to work cooperatively with others to set goals, resolve problems, and make decisions to ensure events run smoothly.
Ability to set priorities, develop task schedules, and monitor progress towards budget goals.
Skill and willingness to take initiatives to proactively anticipate event needs.
The ability to work and interact tactfully and effectively with representatives of various organizations, the public, and museum staff under pressure.
Must be willing to work evening and weekend hours for museum events as needed.
Preferred Knowledge, Skills and Abilities
Bachelor’s degree in Business, marketing or a related field
