The ideal candidate will have experience in managing operations-related activities in a museum, gallery, or office. This individual will be someone who enjoys working with a variety of people, including co-workers, students, researchers, local civic groups, and the public. The person in this position will take pleasure in managing a high-energy operation’s day-to-day activities and taking a creative approach to management, development of services and programs, and social media, marketing, and promotions. This is an opportunity to be an integral part of an academic museum whose facilities are undergoing major renovation, and contributing to new policy, visitor services, operations, marketing and promotions strategies, and exhibits in the renovated building.
The Assistant Director/Operations Manager will be involved in setting long range and short-range priorities for the Museum’s current space at Watts Hall and renovated Fleming Hall, including operations, visitor services, museum shop management, upcoming events and celebrations, managing and training student staff, overseeing all the Museum’s marketing and promotions, and managing and maintaining security systems and procedures. This individual will be able to manage multiple projects and deadlines.
Duties and Responsibilities:
- Has primary responsibility to work with Campus Police, University Maintenance, and Security System Contractor to ensure and maintain proper functioning of security system and components, including video surveillance, access control, intrusion alarm, and physical/mechanical barriers.
- Works with VPSA, Campus Police, University Maintenance, and Museum staff to maintain appropriate museum security incident response, contact list, card access, and monitoring and other security system programming.
- Implements policies and procedures to ensure smooth operations and communications between staff and Campus Police.
- Consults regularly with the Museum Director (e.g., budgeting, staff scheduling, tours, events, programs, exhibitions, etc.).
- Works with the Museum Director, Collections Manager/Registrar, and supervisees, including Museum Weekend Manager/Visitor & Event Coordinator and all student workers, to address issues related to the safety and physical security of the collections.
- Trains, manages, and supervises the Museum Weekend Manager/Visitor & Event Coordinator to include, but not limited to, scheduling. to ensure professional engagement via phone, email response, to in-person contact, all visitor and event services during weekend, development of volunteer corps, coordination of events and tours.
- Hires, trains, manages, and supervises the student staff including graduate assistant/scholar, to ensure professional visitor engagement via phone, email response, social media response, to in-person contact.
- Manages all business and office operations.
- Works with University Maintenance, WNMU Vendor & Event Management, Campus Police, Museum Director, Museum Weekend Manager/Visitor & Event Coordinator on all events to include, but not limited to, event scheduling and preapproval, working with Event Client/Organizer, preparation, extra cleaning and preparation of Fleming Hall, extra security, scheduling of museum staff/students during event).
- Notifies University Maintenance regarding the improper working of systems including: HVAC, lighting, security, fire suppression, plumbing systems, cleaning of museum and exhibitions, and exterior issues (tagging, yardwork, plantings, ice/snow removal).
- Establishes and implements an approachable and friendly visitor services program and experience from pre-visit (i.e., social media, marketing, promotions, web content) to in-person visit (e.g., visitor hours, tour scheduling, creating friendly and approachable visitor programs) to post-visit (e.g., exhibition evaluation, social media, web).
- Oversees all information provided to visitors such as visitor guides, exhibit information, special event information, directions, etc.
- Assists with exhibit development, design, and installation.
The Assistant Director/Operations Manager oversees and is responsible for:
- All Museum operations-related activities (e.g., Lighting and Security Systems, museum policies and procedures)
- Business and Office Operations (i.e., answering phones, accounts management, purchase orders, budgets)
- Museum Shop operations and management (e.g., inventory, purchase for resale, daily deposits, credit card machine)
- All Visitor Services Activities and Experience from pre-visit (i.e., social media, marketing, promotions, web content) to in-person visit (e.g., visitor hours, tour scheduling, creating friendly and approachable visitor programs) to post-visit (e.g., exhibition evaluation, social media, web)
- Training and management of student workers
- All social media accounts, marketing and promotions, web presence.
- Updating disaster and emergency polices for students, staff and visitors
Reports to the Museum Director. Other duties as assigned to include exhibition development, design, and installation. Weekends and evenings as needed. Exempt position.
Required Certifications/Licenses and Minimum Requirements:
- BA in Museum Administration, Anthropology, History, Communications, Fine Arts, Graphic Design, or related field.
- Minimum two years’ full-time employment in an office, business, gallery, academic museum, or very similar setting working in operations-related activities.
- Minimum of two years working with social media and marketing and promotions.
- Must be familiar with best practices in the various operations-based activities in museums and proactively keep up with innovations.
- Impeccable record-keeping.
- Strong interpersonal, organizational, writing, proofreading and analytical skills, with meticulous attention to detail.
- Excellent customer service skills and ability to work with museum staff and various WNMU departments and staff as well as colleagues at other
- institutions, tour groups, educators, and students.
- Some experience in business operations, building operations, and security management.
- Ability to work alone, to supervise and train volunteers and student workers, and to work as part of a team with the Museum Director and Collections Manager/Registrar.
- Facility with Microsoft Office Suite and Adobe Acrobat.
- Basic knowledge of Adobe Photoshop and InDesign.
- Ability to exercise discretion, confidentiality, and independent judgment.
- Must have or obtain a NM driver’s license
Preferred Certifications/Licenses and Minimum Requirements:
- MA in Communications, Museum Studies, Graphic Design, Museum Administration, Anthropology, or related field.
- Experience and knowledge of management of operations in a business, gallery, or museum.
- Advanced knowledge of Microsoft office, accounting principles, and inventory, personnel, and event management.
- Advanced experience working in Graphic Design and with the Adobe C6 Creative Suite.
- Advanced experience in managing social media (Twitter, Facebook, etc.), social media practices, marketing and promotions, and web content.
