Chief Museum Registrar – Patricia & Phillip Frost Art Museum FIU  

Job Summary

 Manages and supervises all object based activities for the Frost Art Museum including the collection of art objects and artifacts, long term loans, the sculpture park, traveling exhibitions, incoming and outgoing loans, purchases, gifts and de-accessions of works of art.  Oversees registration, cataloging, shipping logistics and care of objects for works in storage, long term and short-term loans for particular exhibitions held in the Museum.  Serves to achieve the museums goals and objectives relating to the proper care and documentation of its collections and works of art on loan.

Oversees the care and maintenance of collections on exhibition, in storage, and on loan to the museum and in the Sculpture Park at FIU.  Monitors temperature, relative humidity, light levels, and integrated pest management in galleries and collections storage areas.  Directs the safe handling, preservation, storage, and security of artifacts in the collection and custody of the museum.

Develops, implements and updates collections-related policies and procedures according to AAM standards and best practices. Fosters compliance with federal, state, local and international laws related to art collection management; liaises with Director, University General Counsel and Risk Management on collections-related ethical, legal and risk management issues.

Supervises the Assistant Registrar, part-time and temporary employees, students and interns in the collections area. Works with staff involved in the areas of Collections, Exhibitions, Sculpture Park and Building Maintenance. Trains staff in proper handling and care of collection.

Maintains records of collections, artists and donor files. Creates and maintains legal documents related to exhibitions and collections including: loan agreements, loan requests, insurance policies and certificates, deeds of gift, and related gift forms. Conducts periodic collection inventory and coordinates inventory activities with University Property Control.

Prepares documentation and performs object provenance research for new acquisitions and de-accessions; coordinates with donors, dealers, insurers, conservators, risk management, legal counsel, property control and the University Foundation as related to the acquisition or de-accession of collection objects.

Plans departmental budget and assists with grant-writing and finding funding sources for the proper care, storage, documentation and preservation of the collection.

Contracts external services as needed for conservation, rigging, packing, crating, shipping, framing and mount-making. Supervises contractors working in collections areas.

Develops, implements and updates disaster preparation, response and recovery plans for collection objects in coordination with Director, Security Manager and other key personnel. Maintains hurricane/emergency supplies and manages hurricane/emergency preparedness for collections areas and Sculpture Park.

Coordinates with registrars from borrowing and lending institutions for packing, crating and shipping of art from the collection or art being loaned for exhibition. Oversees safe handling at installation and de-installation of exhibitions; serves as courier or designates courier when needed.

Oversees digital collections activities including: cataloging of art objects, updating catalog records, location tracking, digital imaging of collection objects, uploading of clean metadata and images for access by internal and external community. Oversees the photographic rights and reproduction permissions.

Facilitates research on the collection by students, faculty and scholars from within and outside the University.

Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Performs essential duties in any emergencies such as hurricanes, storms, and/or any other university emergency closing.  The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.

Coordinates along with assistant registrars all practical arrangements for each exhibition, including loan negotiation, contract and loan agreement preparation, condition checking, packing, transport, insurance, couriers, installation, and photography. Manage the care and handling of objects loaned for exhibition including condition reporting, handling, and temporary storage.

Minimum Qualifications

Bachelor’s in related discipline and seven (7) years’ experience in related field or Master’s degree and five (5) years’ experience in related field.

Departmental Requirements

5 years of experience in the museum field with knowledge of registration, art handling and collection care standards and best practices.

Desired Qualifications

Knowledge of Proficio by Re: Discovery software (collection database).
