Annual Support Associate: Princeton University Art Museum

The Annual Support Associate provides critical support for the Museum’s robust membership, gala, and annual support programs. This 70% part-time term position is responsible for managing all aspects of gift processing and fulfillment using the Altru database. Responsibilities include maintaining donor records, generating membership renewals and appeals, and facilitating communications with donors in regard to membership, Gala, and the Museum Travel Program. The associate will assist with and/or coordinate a range of activities and events throughout the year, and provide excellent customer service to donors at all levels.

This is a 2-year term position with the possibility of extension.

Reporting to the Manager of Annual and Corporate Support, the annual support associate is an integral member of the Museum’s institutional advancement team. This position will work closely with the Museum’s database administrator to ensure best practices and data integrity in the use of the database as the primary tool for fundraising.  S/he will coordinate with the Museum’s business office and the University’s Office of Gift Records to process and accurately record all membership, gala and annual support gifts. With the Manager and other institutional advancement staff, the associate will help to coordinate the Museum’s Annual Gala as well as membership and development events, including cultivation events and benefit fulfillment events.

Required skills:  This position requires a high level of technical skill and expertise managing a complex relationship-based database, with a demonstrated mastery of the Altru database (constituent and batch entry, as well as query, export, and mail merge and experience with the membership, events, and prospecting functions). Applicants must enjoy working with data and numbers while also having a strong customer service ethic, and have strong verbal and written communication skills, meticulous attention to detail, and strong decision-making and problem-solving skills.  A bachelor’s degree and 5+ years of professional administrative experience, preferably in a cultural or other non-profit institution, are required.  Experience with paid membership programs and fundraising events as well as handling and processing gifts is highly preferred. S/he must be mission driven, with the ability to manage specific responsibilities while providing support for multiple projects and priorities. S/he must also be trustworthy and diplomatic, with excellent judgment, customer service, and relationship building skills with a broad range of constituencies.
