Assistant Manager of Financial and Personnel Operations: Princeton University Art Museum

The Princeton University Art Museum, one of the nation’s preeminent cultural institutions in an academic setting, seeks applications for the position of Assistant Manager of Financial and Personnel Operations to join the Museum’s Business Office providing diverse administrative support for the Museum. The successful candidate will have the opportunity to work within the context of an art museum that is intimate in scale yet expansive in scope, supporting one of the most dynamic exhibition programs on any college campus and a program of educational activities and events that continues to grow in energy and impact each year.

The Assistant Manager of Financial and Personnel Operations (AMFPO) will assist in overseeing the financial and human resource operations of the museum’s $17 million in business activity and over 100 fulltime, part-time, and student employees. A successful candidate will be a creative and self-motivated individual with a team-based approach and an unwavering attention to detail. Primary responsibilities include acting as a backup to the Manager of Financial and Personnel Operations in all areas including payroll, accounts payable, budgeting, financial reporting, human resource functions, check and cash depositing, and purchasing. This position will work closely with all levels of Museum staff, interact with suppliers, and deal with multiple administrative and academic offices within the University. The AMFPO will oversee the processing of accounting transactions of the Museum including income and expense, payroll, purchasing, accounts payable, and journal entries. The AMFPO will audit endowment expenditures, assist with grant applications, supervise the Museum Financial Assistant, prepare revenue and expense analyses, report on Museum income including gifts, assist with year-end closing activities and ensure compliance with University and sponsoring agency policies and procedures.

Essential Qualifications:
* Bachelor’s degree with four to six years work experience.
* Ability to work independently and efficiently to produce consistent, high-quality results.
* A high degree of organization, self-motivation, and great attention to detail is critical.
* Excellent oral, written, and interpersonal communication skills.
* Strong ability to multi-task and prioritize deadlines.
* Proficiency using Microsoft Office Suite and superior in using Excel.

Preferred Qualifications:
* Knowledge and understanding of Princeton University policies, procedures, regulations and overall business processes.
* Experience using Princeton University systems including PeopleSoft HR and Financials, PRIME, Information Warehouse, Time Collection, Concur, Labor Accounting, SharePoint, and Microsoft Visio.
* Experience in accounting and book-keeping
* Interest in museums, art history, and visual culture.
