This position supports the Director of Galleries in fulfilling the mission of the College of Art + Design’s galleries, including Glassell Gallery (located downtown), Barnes Ogden Art & Design Complex Gallery and Clark and Laura Boyce Gallery (on campus) through operations and visitor services, exhibition coordination and registration, administrative support, programming and outreach coordination, and event coordination. Moving between campus and downtown, the Gallery Coordinator works collaboratively to support the creative and strategic initiatives of the College of Art + Design while prioritizing faculty, student, and community engagement. Key responsibilities include ensuring galleries are open to the public through staffing and coordinating visitor services; coordinating rentals, events, and programming to support student, faculty, and community engagement and generate revenue; and coordinating exhibitions and gallery programming in accordance with university policies. This position coordinates with units across the College of Art + Design and works especially closely with the School of Art to support its wide-ranging visiting artist, faculty, and student exhibition, programming, and events schedule.
Job Responsibilities: Operations and Visitor Services (35%) — Ensures galleries are staffed and open during public hours, including weekends. Manages day-to-day gallery operations and staffing by scheduling and training student workers, graduate students, and contingent workers in coordination with the Director of Galleries. Collaborates with Shaw Center Partners, School of Art, and College of Art & Design office to ensure smooth operations of galleries within their larger sites on campus and downtown. Reports any security, access, or facilities issues. Maintains welcoming and professional exhibition spaces and assists with gallery communications. Exhibition Coordination and Registration (20%) — Coordinates and executes secure transport, acceptance, delivery, tracking, packing, and installation of loaned artwork. Ensures proper maintenance of gallery walls, furniture, and supplies. Packs and unpacks artwork for safe travel. Completes condition reports. Repairs and paints walls. Lights gallery for exhibitions. Assists with professional correspondence with artists, lenders, faculty, staff, students, and collaborators. Ensures artwork is secure. Reports any damage or incidents in gallery. Occasionally drives to pick up and return artwork, including on interstate highways.
Administrative Support (15%) — Maintains gallery and exhibition-specific accounting and proper documentation and tracking of loaned artwork, exhibition loan agreements, rental agreements, catering and event-related LSU forms in alignment with LSU Procurement, Workday, and departmental standards. Tracks and reports gallery sales to College and School of Art financial administrators. Generates invoices for gallery consignment sales. Documents and tracks Glassell Gallery visitation to support grants and community engagement. Reports expenses to Director of Galleries and university departments. Assists Director of Galleries with expense reports for both state and foundation accounts.
Programming & Outreach Coordination (15%) — Supports the development of innovative and collaborative programming and income-generating events at CoAD galleries. Works with the Director of Galleries to promote, organize, facilitate, and staff programs that increase community engagement with galleries. Assists with program documentation and promotion, including tracking visitation, photography, and social media efforts. Fosters strong relationships with students, donors, visitors, faculty, and collaborators. Assists School of Art administration and staff with artist/designer/scholar visits to coordinate logistical support for campus visits such as programming setup, transportation, and additional tasks.
Event Coordination (15%) — Assists with planning, coordinating, and executing events start to finish, working closely with School of Art administration to support revenue generation in the Barnes Ogden Art & Design Complex, Glassell Galleries, and relevant College units for Boyce Gallery. Actively promotes, pursues, and executes the rental program to generate income. Minimum Qualifications: Bachelor’s degree in Fine Arts, Applied Design, Museum Studies, Marketing, Education or related field with 1 year of experience. Preferred Qualifications: Three years of experience in gallery setting or event coordination. Strong communication, planning, organization, and time management skills. Ability to work with students and public and customer service experience. Ability to coordinate multiple, complex projects simultaneously. Experience with exhibition registration and installation. Experience with public programming, event coordination, and outreach. Additional Information: This 40-hour week, full-time position has a Tuesday-Saturday schedule with 35 hours regularly scheduled, and 5 flexible hours allotted to evening and weekend events. The position requires transitioning between on-campus and downtown galleries as needed for exhibition, events, and programming. Pre-employment physical required due to physical demands of the position.
