Position Summary:
Utah State University’s Nora Eccles Harrison Museum of Art (NEHMA) seeks a Visitor Services & Programming Coordinator. This position will oversee all museum events, coordinate visitor services, supervise wage/hourly employees and manage the museum store. This is a full-time exempt position and will report to the Executive Director and Chief Curator of the Museum.

Event Coordinator:
- Oversee all Museum events through the coordination of location, technical needs, food, alcohol and all items related to setup and staffing including supervising hourly staff and volunteers. These include opening receptions, symposia, artist’s talks, film screenings, concerts, etc.
- Coordinate staffing for events including hourly employees, interns and volunteers; work with NEHMA staff to provide coverage for promotional events and educational programming.
- Communicate with guest artists/lecturers to finalize arrangements, create contracts and itineraries, book travel and lodging, and work with Business Manager to secure travel authorizations and reimbursements according to University protocol.
- Work with NEHMA staff to manage coordination of and participation in offsite promotional events.
- Inform and process requests for other USU/non-USU entities using the Museum for their events.
- Maintain listing of events and related programming on NEHMA shared calendar.
- Supply event marketing information to NEHMA marketing staff (as appropriate).
Visitor Services Supervisor:
- Supervise student/non-student hourly employees to oversee areas of visitor services, museum shop and museum security to ensure a positive patron experience and maintain safety of the artwork.
- Facilitate hire, training, evaluation, and work assignments for student employees, volunteers, and interns including assigning appropriate tasks related to other areas of day-to-day operations.
- Maintain and revise internal policy related to the safety of staff and patrons, work with USU Risk Management & USU Police to inform staff security training and protocols, disseminate relevant safety protocols and information to staff and guests of the museum, oversee alarm assignments for new employees.
- Review and provide information to Business Manager in Aggie Time system to complete payroll for all student workers; send payroll reminders to hourly staff.
- Maintain records for hourly staff and volunteers; ensure evaluations are completed on a timely basis; make part-time employees aware of policy changes and/or of any concerns; and work with hourly employees to resolve any concerns.
- Oversee data collection and reporting related to patron attendance and participation in NEHMA programming.
- Post internship and job openings when needed.
Museum Store Manager:
- Coordinate inventory for museum store, work with artists to consign items for sale; work with wholesalers and retailers to select and propose new store products. Work with USU legal and /or Purchasing to draft relevant contracts.
- Manage display of products and display “furniture,” oversee rotation of inventory, work with NEHMA staff to plan new store products related to ongoing exhibitions and programming.
- Oversee training of new employees using point-of-sale system, work in concert with Business Manager to develop and maintain cash handling and inventory procedures.
- Design and implement security/anti-theft procedures both during and outside of store hours.
- Work in concert with Business Manager and USU Purchasing to ensure museum store compliance with University and State of Utah sales guidelines.
Safety & Security Liaison:
- Maintain and revise internal policy related to the safety of staff and patrons, work in concert with USU entities to disseminate relevant safety protocols and information to staff and guests of the museum, oversee alarm assignments for new employees.
- Coordinate with USU Risk Management to successfully facilitate events and programming in compliance with Museum and USU guidelines.
- Conduct monthly and annual testing including alarm system, emergency evacuations, and earthquake drills.
- Willing to be on-site Community Emergency Response Team (CERT) member for the Nora Eccles Harrison Museum of Art.
Minimum Qualifications:
- Bachelor’s degree plus four years’ experience
- Supervisory experience
Preferred Qualifications:
- Events coordinator/management experience
- Experience working in a non-profit, university or museum setting
Dept/College Highlights:
The Nora Eccles Harrison Museum of Art was founded in 1982 with the ceramics collection of philanthropist and namesake Nora Eccles Harrison. The Museum has since expanded to include over 5,000 Modern and Contemporary works with an emphasis on art from the Western United States. The Museum’s collection continues to grow with regular acquisitions. The Museum has recently completed a 7,500 sq. foot addition along with renovations to its existing 26,000 sq. foot facility. Galleries span across two floors with approximately 8,700 sq. feet of exhibition space as well as an object research center with visible storage and library. The three- level museum expansion includes a new café and museum store, a new gallery and additional collection storage.
